The cost-per-copy business when the copier fleet is large, its management becomes complicated and, above all, a lot of time is wasted in obtaining the exact number of copies each month from the copiers deposited with customers.

In the market we find computer solutions that read the copies of the photocopiers telematically , or that is what they sell us. At the moment of truth, the vast majority fail in the readings due to different technical circumstances, especially the causes are at the customer’s home: user sessions, firewalls, antivirus, etc. The reality is that we found a fleet of 400 photocopiers and we received data from only 50 telematically, and the rest? by hand? By email with the saturation of the inbox that can entail? Telephone? it’s okay to talk to the customer, but 400 calls can take forever.

It is well known that the client has to install an application on a computer on the network where the photocopier is to receive the number of copies electronically, but not all applications manage to overcome all the unforeseen events. Many fail due to their connection schedule with the server, use old connection protocols or easy to block. Or the servers are not in the corresponding country.

Obviously a photocopier without a network card (ethernet) connected by USB we will not be able to obtain the data so easily, but that today this casuistry is unlikely. Virtually all copiers have an RJ-45 ethernet card.

If of the 400 photocopiers, 350 communicate daily electronically, we can know at all times the copies made in both color and black, and also the status of the consumables (for stock forecast). With all these data it is easy to generate 350 corresponding invoices almost autonomously by PrintersManagement.com ; reversing the entire process, because now the client receives his invoice by email with his exact copies ultra-fast and error-free. The remaining 50 will not take time if we request them by different means from the client: such as a form through email.

It is also true that many things can happen at the customer’s home: changing computers, formatting, installing a firewall, implementing security, modifying an IP. These changes can also affect the copier so everything is related, and it is unlikely that they will be made in the short term. This maintenance will never exceed the resources needed to bill 350 copiers.
